Tips to Reduce the File Size of Word Document

Word document is one of daily file type, some of them take up small space while other in large size. With time passes by, our computers will run slowly or even get in to crack. Hence, it is necessary to reduce the file size of Word document. Six tips are going to illustrate to you in this tutorial.

Tip 1: Compress photo by changing the format

Images in different formats vary in size. For example, the GIF and JPG formats of pictures are smaller to others. Therefore, we can compress Photo through Photoshop to reduce Word file size.

Tip 2: Cancel Save AutoRecover information

Step 1: Open Microsoft Word, click on FileOptions in the left pane.

Note: In Word 2007, you can click Microsoft Office icon then tap on Word Options.

Step 2: Click on Save tab, under Save documents, uncheck Save AutoRecover information every 5 minutes.

Tip 3: Select Paste Special in Word

When you insert a picture or paste text into Word, the link and other information about them will be added to your document. So your Word file size is more lager than other people.

  1. 1. When adding pictures, you'd better click on Insert > Picture.

  1. 2. Once you copy a text, right-click and select Keep Text Only.

Tip 4: Choose Save as instead of Save

During editing Word document, we always delete or move something.

They are all saved in the background when you click on Save. It just adds the new part to it with old information. When clicking on "Save as" the document will be arranged again. In this way, you can reduce Word File Size easily.

Tip 5: Setup page size to reduce Word file size

In this part, we can reduce the file size of Word document by setting up page size.

Step 1: Launch Microsoft Word, click on Page Layout tab.

Step 2: In the Page Setup section, click on Size then select the befitting page size from the drop-down.

Tip 6: Embed fonts in the file

In some cases, we need to embed a font in the file. You will find the file size becomes larger than before.

Step 1: Click on FileOptions.

Step 2: In Word Options window, click Save tab. Go to Preserve fidelity when sharing this document section, check the following options:

  • Embed fonts in the file
  • Embed only characters used in the document (best for reducing file size)
  • Do not embed common system fonts
